A Weekly Office Cleaning Checklist You Can Hand to a Vendor
Use this checklist to scope a cleaning vendor or to audit your existing service. It covers the tasks that matter in a professional office environment, organised by frequency. It is not a substitute for a written scope of work — a scope is specific to your facility — but it gives you a baseline to evaluate what you are being offered.
Nightly (every service visit)
- Empty and reline all waste baskets
- Wipe down desk surfaces (not around personal items — items should be cleared)
- Wipe phone handsets
- Clean and disinfect all restroom fixtures: toilet bowls, toilet seats, urinals, sinks, faucets
- Clean restroom mirrors and glass
- Mop restroom floors with disinfectant
- Restock restroom consumables from on-site supply
- Empty and reline restroom waste bins
- Wipe kitchen or breakroom countertops and sink
- Clean exterior of microwave and refrigerator
- Empty and reline breakroom waste bins
- Vacuum all carpeted areas
- Sweep and damp-mop all hard floor areas
- Clean entrance door glass (interior)
- Spot-clean partition glass and interior windows
Weekly
- Wipe all chair surfaces (seat, back, armrests)
- Dust horizontal surfaces: shelving, credenza tops, window ledges, picture frame tops
- Wipe baseboards in high-traffic areas
- Clean interior of microwave
- Clean interior of refrigerator (some clients prefer bi-weekly or monthly)
- Wipe conference table legs and chair legs
- Dust HVAC vents and return grilles at accessible heights
- Vacuum upholstered seating
- Burnish hard floors if applicable
Monthly
- Vacuum upholstered wall panels if present
- Wipe all door frames and door surfaces
- Wipe light switch plates and outlet covers
- Clean inside of waste bins (not just reline)
- Wipe and disinfect all cabinet and drawer fronts in breakroom and restrooms
- Clean elevator interior surfaces and tracks if applicable
Periodic (quarterly or as needed)
- Carpet extraction or interim encapsulation
- VCT strip and recoat if applicable
- High-dusting of ceiling fixtures, light housings and top-of-cabinet surfaces
- Pressure washing of building entry if applicable
How to Use This Checklist
When evaluating a cleaning vendor, ask them to confirm in writing which of these tasks are included in their quoted scope and at what frequency. Any vendor who cannot answer this question has not written a scope — they have written a price.
When auditing your existing service, walk the facility after a cleaning visit and check the nightly list. Any consistent misses that are on the list but not getting done are scope failures, not crew failures. The right conversation is about the scope document, not about the individual crew member.
